Executive Assistant to CEO

ICP currently manages a broad range of services for brands such as Coca-Cola, Diageo, L’Oréal, Mars and Unilever. The Group has offices in London, Rotterdam, Atlanta, New York, Mexico City, Mumbai and Shanghai, has recently been acquired by private equity investor NorthEdge Capital, and is experiencing a period of significant growth.

The Role

We are looking for someone with advanced EA/Senior PA experience, experience as a Chief of Staff or within an operational role, who can offer proactive support beyond what you would usually find in such a role. This role is critical in providing support primarily as a direct report to the CEO, as well as for the members of the Executive Leadership Team located in the UK and US.

The role will focus on both strategic and operational from day-to-day matters as well as longer-term strategic projects, helping us maintain momentum and focus as we scale, optimising their time for the things that truly carry the biggest positive impact both for the wider ‘icp’ team, as well as our customers. The role will suit someone who can hit the ground running, take initiative and support who will support our CEO and in turn their team. With no two days the same we are looking for someone who can manage multiple projects, enjoys problem solving, building relationships, and can think ahead. The ideal candidate will not fluster over the big jobs and get their hands dirty with the small ones.

- Acting as the ‘right-hand’ person to the CEO and supporting the wider Executive Leadership Team (ELT), understanding their priorities and preparing them for all activities daily
- Managing the CEO’s complex diary and ensuring they are adequately prepared for meetings with relevant documents
- Managing the inbox and any requests
- Managing all travel arrangements
- Creating presentation decks for Board meetings and client meetings
- Getting involved with projects and providing support on campaigns/initiatives on an ad-hoc basis
- Organise quarterly company meetings and support other client/employee events

- Have 5+ years’ experience as an EA or Chief of Staff at C-Suite level
- You have strong project management skills
- You will anticipate needs and act as a sounding board and second set of eyes
- Be meticulously organised with an excellent eye for detail and passion for problem solving
- You will be a natural relationship builder, able to interact and build rapport at all levels
- You are confident to ask questions
- You will uphold the highest levels of discretion and confidentiality and understand the importance of a ‘right hand’ EA role
- You will act as a true partner to the CEO and broader ELT
- You have a strong work ethic and are comfortable working in a fast-paced environment, where rapid change is the norm
- You are calm under pressure, whilst maintaining a sense of urgency and efficiency when appropriate
- Strong understanding of business processes and organisational budgets
